How it works

One workflow. We operate it from start to finish.

Lumenoeva takes a recurring process that currently depends on people, software, AI tools, spreadsheets or manual checks and turns it into one managed operation. We map the real work, define the boundaries, automate what can be executed reliably, route exceptions to trained people and deliver the agreed outcome.

The starting point

We begin with the work — not with an AI product.

A business process rarely looks as clean in practice as it does in a flowchart. Information is missing, systems disagree, exceptions appear and people know unwritten rules that software does not. We therefore start by understanding how the workflow really operates today.

We identify the trigger, the expected outcome, the systems involved, the volume, the manual effort, the rules, the failure points and the decisions that genuinely require business judgment. Only then do we decide how AI, automation, controls and people should work together.

The operating path

From trigger to accountable outcome.

The client sees a simple service boundary. Behind it, Lumenoeva coordinates each stage so routine work can move quickly without allowing uncertainty or exceptions to disappear unnoticed.

01 · INPUT
A recurring business event enters the defined managed workflow
RECEIVE
02 · ORCHESTRATE
Lumenoeva Ops establishes workflow state, required information, rules and next action
ROUTE
03 · AI
Approved models and automation extract, check, classify, research, prepare or match
EXECUTE
04 · CONTROL
Rules, evidence, confidence and policy boundaries determine whether work can proceed
DECIDE
05 · HUMAN
Ambiguous, sensitive or exceptional work enters a controlled review queue
RESOLVE
06 · OUTCOME
The agreed action is completed in the appropriate client system or hand-off
DELIVER
07 · LEARN
Exceptions, interventions, errors and rework become operating intelligence

What Lumenoeva owns

Not just execution. The operating responsibility around it.

The value is not simply that an AI model can perform a task. The value is that somebody owns the full path from input to outcome, including the cases where the task is incomplete, uncertain or fails.

A

Workflow design

Inputs, outputs, decision points, exception conditions, quality rules, operating boundaries and responsibilities are defined before the workflow is handed over.

B

Software orchestration

Workflow state, queues, controls, recovery, review and client hand-off are coordinated through Lumenoeva Ops rather than scattered across disconnected tools.

C

AI + human execution

Repeatable work is automated where reliable; judgment is deliberately routed to trained people when context, ambiguity or risk makes automation insufficient.

D

Measurement + accountability

Cycle time, intervention, exceptions, errors, rework and service behaviour become visible operating data rather than hidden effort.

What changes for the client

One operation instead of several moving parts.

The most important change is organisational. Your team no longer has to be the glue between software, AI output, manual checks and exception handling.

01

Before Lumenoeva

Employees, software tools, spreadsheets, AI subscriptions, manual checks and hidden exceptions are managed separately. Knowledge often sits with individual people and problems are solved case by case.

FRAGMENTED
02

With Lumenoeva

The workflow is operated as one service with clear boundaries, escalation paths, quality rules, ownership and an agreed definition of completion.

MANAGED
03

As the operation improves

Recurring patterns become better controls and more routine work moves to automation while people concentrate on the cases where context and judgment create value.

IMPROVING
What you need to provide

You do not need an automation specification.

You only need to explain the business process as it actually works. We translate that into an operating design.

The trigger

What starts the work: an enquiry, record, document, scheduled event, request, case or change in a system.

The current process

What people do today, which systems they use, where information comes from and where the work slows down.

The exceptions

What normally requires checking, clarification, escalation, approval or experienced judgment.

The outcome

What “complete” means: a validated record, prepared brief, routed case, updated system, reconciled item or other defined result.

Different workflow, same operating logic

The input and outcome change. The operating problem is often the same.

Across departments, costly workflow friction tends to repeat: information arrives in inconsistent formats, somebody researches or re-keys it, rules are checked manually, missing items are chased, exceptions sit in inboxes and several systems must be kept in sync.

Sales

Lead → researched, validated and routed CRM record.

Finance

Invoice → checked, matched and approval-ready item.

Customer

Case → classified, prepared, resolved or escalated outcome.

Procurement

Supplier request → verified, complete and onboarded supplier record.

Field operations

Completed job → structured service record and downstream hand-off.

People operations

New starter → complete onboarding status with exceptions surfaced.

Commerce

Product data → validated, enriched and channel-ready listing.

AI / AgentOps

AI output → evaluated, exception-reviewed and approved or corrected result.

Human judgment by design

Human review is a control layer, not a failure of automation.

The goal is not to force every case through AI. When ambiguity, risk, conflicting evidence or policy makes a person more valuable than additional automation, the workflow deliberately pauses and routes the case to a trained reviewer.

This protects quality while also creating useful operating evidence: why intervention was needed, what decision was made and whether the same pattern can be handled better next time.

Clear service boundaries

The operation is defined before it is handed over.

Each workflow has an agreed scope: what Lumenoeva can execute, what requires human review, what remains a client decision, which systems may be updated, what evidence is retained and how service performance is measured.

Lumenoeva owns

Defined workflow execution, operating controls, exception handling, monitoring, measurement, recovery and agreed delivery within the service scope.

The client retains

Business policy, strategic decisions, contractual authority, relationship ownership and other responsibilities not explicitly transferred into the workflow.

The first 30 days

Prove the model on real work before expanding.

For a qualified standard workflow, the first 30 days are managed on us. The purpose is not to demonstrate a toy automation; it is to see whether the operating model creates useful business value on a controlled real-world process.

01

Define the baseline

We agree the current process, volume, effort, cycle time, exceptions and the outcome that matters.

02

Run the controlled scope

Lumenoeva operates the agreed workflow with the necessary AI execution, rules, review points and monitoring.

03

Decide from evidence

At the end of the pilot, you decide whether the workflow is worth continuing. The standard first active workflow is €495/month.

A practical first step

Show us one recurring workflow.

You do not need to know how it should be automated. Describe the process, the pain points and the result you need. We will assess whether it fits the managed model.
